If you only rent out a few products, you can often manage reservations perfectly well using a calendar or spreadsheet. As the number of bookings grows, however, things quickly become more complicated. You need to check availability, keep track of payments, send confirmations to customers and make sure the same product is not rented out twice.
Rental software can automate much of this work. But not every booking system is suitable for rental businesses. So what should you look for when comparing rental software?
There are many online booking systems available. A system designed for customers to book an appointment at a hair salon works very differently from bike rental software, boat rental software, vehicle rental software or accommodation booking software.
Inventory plays an important role in rental businesses. If you have ten bikes of a particular type and eight have already been reserved, two should still be available. If one bike is rented for several days, the system needs to take this into account throughout the entire rental period.
Good rental software therefore combines bookings with availability and inventory management.
One of the main advantages of an online rental system is that customers do not have to call or email first to ask whether something is available. The booking module only shows what is actually available at the selected time. Customers choose a date, time or rental period, select the product they want and can complete their booking straight away. When comparing systems, also consider how the booking module can be integrated into your website. In most cases, there is no need to build an entirely new website.
Not every rental business works in the same way. A bike may be rented by the day, while a boat might be booked for part of a day or for a number of hours. Holiday homes, on the other hand, are usually booked by the night and may require a minimum stay. A rental system should therefore offer enough flexibility to match the rental periods you use in your own business. This could include rentals by the hour, part of a day, day or night, as well as fixed time slots and minimum rental periods.
Manually checking whether something is still available not only takes time, but also increases the risk of errors. A good rental system automatically calculates available inventory based on existing bookings. It is also useful if the system allows you to manage not only quantities, but individual rental items as well. This is particularly useful when each bike, boat or machine has its own number. You can then see not only how many items have been rented out, but also which specific item belongs to a particular booking.
More and more customers expect to be able to pay for a booking online straight away. Check which payment methods a rental system supports and how payments are linked to bookings. This prevents you from having to manually check afterwards whether a payment has actually been received. Depending on your business, it may also be important to support security deposits, partial payments or different VAT rates.
For many rental businesses, a booking consists of more than just the main product. A child seat might be added to a bike rental, additional equipment to a boat rental or an optional package to a holiday home booking. It is therefore useful if accessories and other extras can be offered directly during the booking process. This makes the booking process clearer for the customer and can also help increase the value of each booking.
A booking usually involves some form of customer communication as well. Customers expect a confirmation and you may want to send a reminder or additional information shortly before the rental begins. If the rental system sends these messages automatically, you do not have to do this separately for every booking. It also gives customers immediate confirmation that their booking has been received. Check whether you can customise the content of these emails yourself. After all, the information a bike rental company wants to send will be different from the information required by a holiday home or equipment rental business.
If you work with several employees, it is important that everyone uses the same up-to-date booking schedule. This avoids separate calendars, spreadsheets or notes containing reservations that still need to be processed. For larger rental businesses, support for multiple locations may also be important. Inventory and availability should then be manageable for each location while still giving you a clear overview from a single system. Also check whether different user permissions can be configured. Not every employee needs access to all settings and financial information.
When choosing rental software, do not only consider what you need today. As your business grows, integrations with other systems may become increasingly important. This could include an online payment provider, calendars, external booking platforms or an API for exchanging data with other software. For accommodation rentals, for example, an iCal integration can be important when the same accommodation is also offered through other channels.
Rental operations do not always take place behind a computer. When handing out bikes, boats or other rental equipment, a phone is often much more practical. A mobile interface or app can therefore be a major advantage. Employees can look up bookings, update their status or scan a QR code on a rental item without having to go back to a computer.
The cheapest rental software is not automatically the most cost-effective solution. Pay particular attention to how the pricing is structured. Some providers charge a fixed monthly fee, while others use transaction fees or charge a percentage of each online booking. There may also be additional charges for setup, extra users, modules or certain integrations. So do not just compare the monthly price. Look at what is included and which costs increase as the number of bookings grows.
There is no single rental system that is automatically the best choice for every business. A small bike rental company has different requirements from a holiday park or a company renting out machinery from multiple locations. Start by mapping out your own rental process. How are bookings made? Do you work with quantities or individual items? Which rental periods do you use? Do you want customers to pay in advance? Which tasks are you currently still handling manually? Only then can you properly compare different rental systems.
Ultimately, the most important thing is that the software reduces your workload rather than creating additional administration. Customers should be able to book easily, while you can immediately see what has been booked, what has been paid and what is still available.
