Step-by-step: how to cancel a booking
Cancellations are processed from within the booking itself. Follow these steps:
- Open the relevant booking in the Booking Manager.
- Scroll down and click on the ‘Actions’ button.
- Select ‘Cancel booking’.
- A confirmation screen will appear asking if you’re sure you want to cancel the booking.
- You’ll have the option to automatically send a cancellation confirmation to the customer via email.
- If a payment has been made, you can indicate whether (part of) the amount should be refunded.
- Want to charge a cancellation fee? Enter the amount in the ‘Cancellation fee’ field. The system will automatically deduct it from the refund.
What happens after a booking is canceled?
After cancellation, the booking remains visible in the booking overview but is shown with a grey strikethrough. This way, you can instantly see it's a canceled reservation. To avoid confusion, the rented items are no longer shown by default. Want to view them anyway? Click ‘
Show anyway’ in the booking. This way, you always retain full insight into the original reservation without disrupting your daily planning.
Canceling with deposit refund? The customer receives an email confirmation
When canceling a booking (or performing a separate refund) involving a deposit, the system offers the option to send the customer an email confirmation. This is done automatically during the refund process. You'll be asked whether you want to notify the customer. If you choose ‘yes’, the customer will immediately receive a clear confirmation by email — simple and transparent.
