Booking statuses in rental software: better reservation management

Booking statuses in rental software: better reservation management

Do you use an online booking system for bike rentals, boat rentals, camper rentals, or vacation accommodations? Then you probably recognize the challenge of maintaining a clear overview as the number of reservations grows. A reservation may already be paid for, a customer may have arrived, or a rental may have been fully completed. Yet many reservation systems offer only limited ways to track the progress of bookings.

That is why RentAccent has added new booking statuses to its rental software. This gives you greater control over your rental planning and allows you to instantly see which reservations require attention.

Better visibility into your rental planning with booking statuses

A good reservation system does more than simply process bookings. During the rental period, you also want to be able to quickly see which stage a reservation is in.

Within RentAccent, you can manually assign a status to each booking. This helps organize day-to-day operations and makes it easier to follow up on reservations. The feature is completely optional. If you choose not to use it, the system will continue to work exactly as it always has.

Which booking statuses are available?

The booking system currently supports three different statuses:

  1. Open – for new or active reservations
  2. Started – once the customer has arrived or the rental item has been handed over
  3. Completed – when the rental has been fully finalized

This creates a clear distinction between upcoming reservations, active rentals, and completed bookings.

Why status management is important in rental software

For many rental businesses, a reservation consists of multiple steps. Think of collecting payments, handing over equipment, receiving returned rental items, and processing security deposits. Booking statuses help you organize these processes more effectively.

Common use cases include:

  1. Setting bookings to Started when the customer arrives
  2. Marking rentals as Completed after equipment has been returned
  3. Checking which reservations still require attention
  4. Getting a faster overview during busy rental periods

Businesses with a high volume of daily rentals especially benefit from the additional insight these statuses provide into their rental operations.

Suitable for bike rentals, boat rentals, and camper rentals

The new status feature can be used across a wide range of rental businesses. Whether you rent bicycles, e-bikes, boats, canoes, campers, vacation accommodations, or other rental assets, these statuses help keep reservations organized. Because the feature is not tied to a specific rental category, every rental business can continue following its own preferred workflow.

Booking statuses also available in the rental app

In addition to the desktop platform, booking statuses are also available in the RentAccent app for iOS and Android. This allows employees to update reservations while on the go without first having to log in on a computer. With a single tap, you can change a booking's status to Open, Started, or Completed.

New filters for active reservations

To further simplify reservation management, new filters have been added to the app. These allow you to quickly switch between:

  1. All bookings
  2. Bookings starting today
  3. Bookings starting tomorrow
  4. Bookings ending today
  5. Bookings ending tomorrow

For rental businesses that handle multiple daily check-outs and returns, this can result in significant time savings.

More control over the entire rental process

Modern rental software is about more than just online reservations. Managing active rentals, customer communication, and operational processes is becoming increasingly important. Booking statuses give you greater insight into the progress of reservations without requiring changes to your existing workflow. As a result, your rental operation remains organized even as the number of bookings grows.

Why more rental businesses are choosing an online booking system

A professional reservation system helps rental businesses work more efficiently and reduce errors. Popular features found in modern rental software include:
